Technology Coaching Systems Sprint

How it works

The Strategy Day always comes first. It’s what makes twelve weeks enough.

Step 1: The Strategy Day

One focused day, in person. We look at everything, make the decisions and you leave with a clear action plan.

Step 2: The Systems Sprint

Twelve weeks of weekly check-ins and support between calls, so the plan from your day actually gets done.

Step 3: The Lab

When the Sprint ends, you can stay on with ongoing support and training inside The Lab. Connect with other learners access all your resources.

One day. More decisions than in months.

Not long ago, a small team sat in my office in Glasgow for a day.

They run a programme supporting female founders. Two people, a part-timer, contractors, mentors and a whole cohort of founders to look after. All of it running on Microsoft 365 and multiple tools.

They’d been putting this day off for months.

Logins were spread across different people. Everyone was paying for their own AI tool, and none of them were connected. Their info@ address flooded one inbox with dozens of out-of-office replies every time they sent a newsletter. Forms weren’t feeding into anything. Nobody was quite sure who had access to what.

By the end of the day, they had a password manager set up with a named admin. An access tracker started straight from their Microsoft admin centre. A named data controller. A Teams structure everyone agreed on. Their founder onboarding mapped from application to welcome. And a clear list of who was doing what next.

They made more decisions in one day than they’d managed in months.

None of it needed a new tool. Every decision was made inside the tools they already paid for.

That’s what this is.

Sound familiar?

These are real things business owners have told me in the last few months.

If one of those made you wince, you’re in the right place.

It's never about the shiny new tool

Most of these aren’t tech problems. They’re habits.

People fall back on what they know when they’re busy or unsure.

A password goes by text. A file gets emailed. A new tool gets signed up for and forgotten. Nobody’s doing anything wrong. There just isn’t a process to follow.

So we look at three things working together.

The people

You, your team, your freelancers and your outsourcers. Everyone who touches the business.

The tools

What you already pay for, and what you actually use. Often they’re not the same thing.

The process

The sweet spot in the middle that connects them. Every process gets an owner.

Think of it like cogwheels. When every process has an owner, you can see exactly where things get stuck. Then you fix that one thing, instead of starting again.

This is the heart of the Tekunoji® Method.

Part 1: The Systems Strategy Day

One full day. In person. Working on your business, not in it.

Before the day

You (and your team, if you have one) answer a short set of questions about your business, tools, team and goals.

I turn your answers into a private, live, interactive dashboard. If there’s more than one of you, your answers sit side by side, so we can see where you agree and where you don’t before we even start.

On the day

We meet at our office in the Pentagon Centre, Glasgow city centre, or I come to you. Lunch is on us.

We work through your business area by area, inside your own accounts. Quick wins first, then we build the systems around them. Where it helps, I’ll show you live in your own tools, so you see it working in your world, not mine.

After the day

You get a detailed follow-up covering everything we discussed, with every action written down and owned by a named person.

You also get a systems tracker built for your business, with your actions, your tools and access list, a weekly check-in log and a parking list for the ideas that aren’t for now. Plus our EU AI Act Compliance Templates Bundle and Practical AI Prompting Fundamentals.

What we work through together

It’s an intense day. That’s the point.

It’s the day you finally face the stuff you’ve been avoiding.

You can take the plan and run with it.

Or you can keep going with us.

Part 2: The Systems Sprint

Twelve weeks to put your Strategy Day into action.

Knowing what to do is one thing. Doing it while you run your business is another.

That’s when plans quietly drift back to the old way. The Sprint keeps you moving.

Because the Sprint always starts with a Strategy Day, we already know your setup, your people and your priorities.

So every week is spent building, not working out where you are.

A weekly one-hour check-in

Same time every week. Often straight after your team meeting. We look at your tracker, pick what matters most that week and get it moving.

Your own private space in The Lab

Between calls, you get your own private channel inside The Lab, just for you and your team. Ask questions, share screenshots and files, and I’ll reply within two working days. Everything stays in one place for the full 12 weeks.

Resources to build your skills

Lab membership for the three months, including our Practical AI Prompting Fundamentals course, so your team builds skills alongside your systems.

I talk to your other people

Your website developer, your IT provider, your platform support team. I’ll join the call or send the brief, so everyone knows what’s changing and why.

Bringing your team along

Short video guides showing exactly how the new way works, so the change sticks when you’re not in the room.

A review at the end

Business doesn’t run to a fixed plan, so we focus on what matters each week. At the end, we look at what’s done and what’s working, and set a clear plan for the next six months.

What changes

What this looks like in real life

A female founder support programme

Small team, contractors and mentors on Microsoft 365. In one day: password manager live, access tracker started, data controller named, Teams structure agreed and founder onboarding mapped. Now in a Systems Sprint to bring the whole team on board before their January cohort.

A sustainability membership organisation

Over 9,000 email contacts with almost no tags, no segments and no automations. Event bookings triggered three confusing emails, including an invoice for free events, and no reminders. Events listed through partners never captured a single contact.

We connected their events platform to Mailchimp, cut the emails that didn’t help, built a branded event journey, added sign-up preferences so members choose what they hear about, wrote a welcome sequence and turned partner events into list-builders.

A creative community

A full ActiveCampaign set-up and migration, landing pages moved over, team processes created, finished with a video walk-through and a handover note so the team could run it themselves.

A physiotherapy clinic owner

Fully booked face to face, with expertise she couldn’t scale. Together we launched her online platform, with everything documented in shared videos and a Google Drive she still uses. A year on, she’s running mentorship cohorts for coaches and selling ebooks and courses.

What clients say

“No idea is small, no idea is stupid… It’s been life changing for me, business changing.”

Rosie Davie, Pelvic Health with Rosie

“Invaluable information which allows me to reevaluate where I am, rather than where I thought I was.”

Tracey Clarke

“Thank you so much for this, and for such a productive day on Thursday. We both came away feeling really positive about what we achieved and excited about the possibilities”

Elizabeth Pirrie, AccelerateHer

Is this for you?

This is for you if:

It works for small teams and for solo business owners who work with outsourcers. Either way, I’m the go-between for your people, your tools and your processes.

This isn't for you if...

You want someone to pick a shiny new tool and set it all up without you.

This is done with you.

You’ll be involved, because you’re the one who needs to own it.

Builds such as automations, forms and workflows are quoted separately, at a preferred rate for Sprint clients.

Your questions answered

Because this works best in a room. I can see your screens, read the room and pick up on the things people don’t say on a video call. Taking a full day out of the business is part of what makes it work.

Yes. Bring whoever needs to be part of the decisions. That might be your business partner, your operations person or your VA.

Just answer the pre-day questions. Have your logins handy on the day, because we work inside your own accounts.

Microsoft 365, Google Workspace, Mailchimp, ActiveCampaign, GoHighLevel, Zapier, Thinkific, LearnWorlds, WordPress, Squarespace and more. If we haven’t used it, we’ll learn it with you.

You get your own private channel inside The Lab, just for you and your team. Post your questions, screenshots and files there and I’ll reply within two working days. Email works too if you get stuck.

The Sprint is done with you. If you’d like us to build something for you, like an automation, a form or a workflow, we’ll quote it separately, at a preferred rate for Sprint clients.

Yes. Lots of people take the plan and run with it. If you’d like support after all, continue within 14 days of your day and your £895 counts towards the full journey.

No. The Strategy Day is where we get to know your setup, your people and your priorities, and make the big decisions. Without it, the first weeks of the Sprint would be spent working all that out, and you’d be far less likely to have things sorted by the end. Doing the day first means every week of the Sprint is spent building.

This works just as well for you. Most solo business owners work with outsourcers, like a VA, a web developer or a bookkeeper. I’ll help you get everyone working the same way.

No. We give you templates, best practice and the right questions to ask. Your lawyer or insurer signs off the legal side.
