Six templates. One afternoon. Your AI use, sorted.
Get your business’s AI use documented, policy-backed and business, staff and customers protected.
You use AI in your business. Maybe ChatGPT or Claude for emails.
Maybe a chatbot on your website. Maybe the AI features hiding in tools you already pay for.
Then you hear about the EU AI Act. So you open a blank document to write an AI policy.
What goes in it? What words do you use? What are you even meant to be tracking?
After twenty minutes, you close the document. It goes back on the to-do list. And it stays there until a client, an auditor or a new rule forces the issue.
Most small businesses are stuck right here. Not because the Act is impossible to understand. Because starting from a blank page is hard.
That’s what these templates are for.
Does this sound like you?
- You use AI in your business, but nothing about it is written down
- You know the EU AI Act exists, but not what it means for you
- You started an AI policy and stalled on a blank page
- A client or partner asked how you use AI, and you weren't sure what to say
If you nodded at any of these, you’re in the right place.
The problem isn't the Act. It's the blank page.
Every template is built to be adapted, not rewritten. Replace the bracketed sections with your own details, delete what doesn’t apply, and you have a working document. Not a project.
What you'll be able to do
- Show clients and partners you use AI responsibly
- Give your team clear rules on which AI tools to use, and what data stays out
- See every AI tool in your business, and its risk level, in one place
- Know which EU AI Act dates and rules actually apply to you
- Keep a record of staff AI training, with renewal dates built in
- Track where AI helped create your content, and who signed it off
Think digital. Work human.
AI should make your business better, not riskier. These templates keep people in charge. You decide which tools to use, how to use them and who checks the work. That’s what responsible AI looks like in a small business.
Who it's for
- Small business owners and sole traders using AI
- Team leaders who need clear AI rules for their staff
- UK businesses with customers, clients or partners in the EU
You don’t need any legal or technical knowledge. If you can fill in a form and make decisions about your own business, you can do this.
What's inside
Six ready-to-use templates, inside your course in The Lab:

AI Use Policy (internal)
A plain-English policy your team can actually follow.

Responsible AI Statement (external)
A public statement for your website and clients.

AI Tool Inventory and Risk Level Finder Template
Log every tool and find its EU AI Act risk level.

AI Content Attribution Tracker.
Track where AI was involved in your content, and who signed it off.

Glossary and Key Dates (EU AI Act)
The terms and deadlines that apply to you, out of legal language.

EU AI Act Training Tracker
Log staff AI literacy training against Article 4, with renewal dates.
The AI Use Policy and Responsible AI Statement are Word documents. The other four are spreadsheets. Everything is fully editable, and each template has a short lesson showing you how to fill it in.
Not sure where to start? Most people begin with the tool inventory. You can’t manage what you haven’t listed.
This course is part of the AI and Automation pillar of the Tekunoji® Method, our framework for building confident digital skills in business.
Who's behind the templates
Hi, I’m Sooz Young, founder of Technology Coaching.
I’ve spent over 15 years helping people use technology with confidence, and I’ve trained over 6,000 people in AI and digital skills since 2019. I see the same thing again and again. Businesses love what AI does for them, but nobody has written down how they use it.
So I built these templates with Alba Sort, founder of The AI Distillery. Alba is a certified AI Governance Professional (IAPP AIGP) with expertise in the EU AI Act and ISO/IEC 42001.
Together, we’ve turned the Act into six practical documents a small business can actually finish.

Possibly. It depends on whether your AI tools, or what they produce, are used by people in the EU. The Glossary and Key Dates template helps you work that out, and covers the UK rules that apply regardless.
